Volunteer Event Co-ordinator

Main Purpose Of The Role

The role of the events co-ordinator is to develop and deliver a range of events such as the Open Day and Gala Dog Show seeking opportunities to generate income through sponsorship, attendance, and commercial activities.

To help promote our aim of safely re-homing unwanted dogs and puppies.


Main Activities / Tasks

  • Plan, design and produce event while managing all project elements within time limits
  • Liaise with vendors and donors to ensure project needs are being met
  • Conduct market research, gather information and negotiate contracts prior to closing any deals
  • Provide feedback and reports to trustees
  • Propose ideas to improve event quality
  • Organise facilities and manage all event's details such as decor, catering, entertainment, transportation, location, invitee list, special guests, equipment, promotional material etc
  • Ensure compliance with insurance, legal, health and safety obligations
  • Specify staff and volunteer requirements and coordinate their activities
  • Cooperate with Head of Administration to promote and publicise event
  • Proactively handle any arising issues and troubleshoot any emerging problems on the event day
  • Conduct pre- and post - event evaluations and report on outcomes
  • Research market, identify event opportunities and generate interest
  • Set up a small support team of volunteers to assist with this role (this may include volunteers that already in place)


Skills / Qualifications / Experience

  • Excellent customer service skills, good telephone manner and a confident approach with the public
  • Experience of an office environment and various administration tasks
  • The ability to work alone or as part of a team
  • Previous experience of dealing with the public is ideal
  • The ability to multi-task 


The Person

You should be reliable, with an organised and flexible approach.  You should be confident and approachable and be able to work in a busy environment, where multi-tasking is essential.  You must be happy to work within Stokenchurch Dog Rescue’s policies and procedures and empathise with the aims of the organisation.  As representatives of Stokenchurch Dog Rescue the image you present is important so you must be polite and friendly to the public.
